Terms and Conditions

  1. Registration periods: All changes of fees by date are applied at 23:59 CET/CEST, the fees include VAT.
  2. Abstract processing fee: The fee covers the costs incurred in handling the abstracts (submission tool, review tool, scheduling) and includes an individual DOI for each accepted abstract. It is non-refundable, also in the case of rejection or withdrawal. Unfortunately, we cannot waive the abstract submission fee, exceptions are not possible.
  3. Student rates: Special rates apply for students. Students, incl PhD students enrolled at a university, must provide proof of status from their university before completing the registration form, allowing us to set your Copernicus user status to „student“ in the administrative data base. This may take up to two working days.
  4. Low and lower to middle income countries (LMIC): Special rates apply for participants from LMIC, according to the yearly updated specification of the World Bank. The LMIC status is based on your country of residence at the time of registration, entries will be approved after registration.
  5. Accompanying person: The fee for an accompanying person (visiting non-scientific partner) refers to a person, who does not take part, either actively or passively, in the scientific programme but who just wants to enter the conference venue. Such a registration can only be acquired in combination with a defined active participant. A TAN code and individual Copernicus Office user ID are required for registering at this rate.
  6. Lunch bookings: The price per day for a lunch includes a vegetarian three-course buffet meal (salads, warm dishes, desserts); the menu for each day will be published on this site soon. You can book each day separately. As an alternative to the pre-booked lunch tickets, you can buy sandwiches and tartes flambées at the in-house bistro bar. However, capacity may be limited. You can also get lunch outside of the conference centre in the local supermarket (with food court) or restaurants nearby. Keep in mind that lunch breaks are rather short (60min). It is not possible to buy lunch tickets after 5 June 2026.
  7. Conference dinner: The conference dinner takes place on Tuesday, 16 June 2026 in the congress building. It is a delicious three-course buffet meal, with vegetarian and vegan options. You can also choose to order meat, at slightly higher cost. A limited range of drinks (water, wine, beer) and your after-dinner coffee or tea are included. The dinner menu will be published on this site soon. You can book up to 3 dinner tickets, if you want to bring your family.

Refund and Cancellation Policy

Registration cancellation is possible until 21 May 2026, 13.00 CEST, with an administrative fee of 100 €. No refunds will be given after this date. Written notification of cancellation must be emailed to accounting.

Funds, Fees and Grants for WBF2026

We recognize that attending an international conference such as the World Biodiversity Forum WBF2026 can represent a significant financial investment, particularly for participants from lower income countries. As a not-for-profit event, the World Biodiversity Forum operates entirely on the income generated through abstract submission and registration fees and limited financial contributions by partners and supporters. The abstract and registration fees cover all organisational and logistical costs, including abstract and participant management, staff costs, venue hire, infrastructure and IT systems, as well as catering. To help with the financial challenges for participants from LMIC (lower and lower-to-middle income countries, according to the specifications of the World Bank) at least partially, we have lowered the registration fee for LMIC participants, subsidizing registrations as much as possible with respect to our budget. We would like to thank our partners and sponsors for their contributions towards the operational costs, without which this would not be possible. The conference organizers are unfortunately unable to offer abstract or registration fee waivers or other financial support.

We strongly encourage you to seek financial support from your home institution, university or employer, who often have funds available for professional development and conference participation. Many organizations also provide travel grants for early-career researchers presenting their work internationally.

Together with the registration, opening before Christmas 2025, we will publish an accommodation booking system. We will make sure to include a good choice of lower cost hostels to make your stay more affordable. Information to plan your travels will also be made available on our website.

Thanks to financial support from a variety of organisations, we are able to provide a limited number of grants to MSc and PhD students from LMIC countries wishing to attend the World Biodiversity Forum WBF2026. Grants may contribute towards registration fees, travel to and from Davos, and accommodation expenses during the conference. However, due to our restricted budget, the grants will only partially cover your expenses related to participation in the WBF.
